Req Id: 30925 Job Title: Lead Administrative Assistant Job Description: Job Summary The Office of Research at Purdue University is announcing the search for an administrative assistant to provide office management and support strategic initiatives.
This role is responsible for ensuring the office runs smoothly and provides coordination across difference units within the office.
The administrative assistant will provide scheduling and calendaring support for leadership in the office and coordinate meetings for special projects.
They will serve as the human resource liaison, manage conference rooms and office spaces, order and organize supplies and equipment and coordinate with the communication team on office events and support special projects.
Initially, special projects support includes the Institute for Physical Artificial Intelligence (IPAI).
This position will report to the Assistant Vice President for Strategic Initiatives and partner closely with the Senior Executive Assistant for the Executive Vice President for Research, the Event Manager, and other administrative assistants across the office.
Duties and Responsibilities Perform non-routine administrative functions; conduct research, prepare reports and presentations, respond to information requests, and manage correspondence.
Maintain calendars, schedule complex meetings, prepare agendas, and collect and provide support materials.
Respond to non-routine inquiries and issues from internal and external sources; draft and edit correspondence.
Develop, implement, and maintain/improve processes related to administrative support operations (e.
g.
, records maintenance, data collection and maintenance, etc.
) to ensure compliance with University policies and procedures.
Respond to non-routine inquiries and issues from internal and external sources.
Develop, implement, and maintain/improve processes related to administrative operations to ensure compliance with University policies and procedures.
Coordinate the logistics of various programs, projects, workshops, events, and presentations.
Monitor operating budget and maintain financial records for administrative support operations.
Update and maintain databases, websites, and mailing lists.
Supervise, mentor, and train other support staff.
May monitor operating budget and maintain financial records.
Qualifications Required: High school diploma Four years of experience in an administrative support role Excellent written, verbal, and interpersonal communication skills Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality Strong organizational and time management skills and attention to detail Computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc Skilled in collaborating and communicating to build relationships with individuals at all levels within and external to the university to support department needs Skilled in interpreting policies and procedures to resolve issues proactively Ability to identify problems and implement or recommend solutions.
Drafting, proofreading, and editing skills.
Ability to lead others and provide direction and constructive feedback.
