Position Summary Reporting to the Chief Executive Officer (CEO), the Finance Manager (responsible for Fiscal Reporting, Compliance, and Finance/Accounting) plays a crucial role in managing the fiscal aspects of grants to support the mission of YWCA Greater Lafayette.
The successful candidate will be responsible for overseeing financial reporting, preparing grant claims, monitoring grant spending, and ensuring compliance with grant requirements.
Additionally, this role will involve various finance and accounting tasks to support the overall financial health of the organization.
The Finance Manager will collaborate with CEO, development team, program directors and managers, the finance team, and other stakeholders to ensure accurate fiscal reporting, efficient utilization of grant funds, and smooth financial operations.
Essential Responsibilities Finance/Accounting Tasks Assist with various finance and accounting tasks, such as budgeting, financial forecasting, and financial statement preparation.
Participate in the month-end and year-end closing processes.
Help maintain accurate financial records and ensure adherence to accounting principles and best practices.
Payroll processing and maintenance Supervise Administrative Assistant and provide assistance and back-up as needed Review Accounts Payable including invoice entry, check writing, and account maintenance, and follow-up Accounts Receivable including invoice entry, monthly invoicing, account maintenance, and follow-up Deposits including entry and delivery to bank; entry of online revenue receipts from Blackbaud, Intuit, Stripe and other platforms; and check writing Review Accounts Payable including invoice entry, check writing, and account maintenance, and follow-up Account reconciliations Financial Data Analysis Analyze financial data related to grant-funded projects to identify trends, potential issues, and areas for improvement.
Utilize financial data to support decision-making and enhance the effectiveness of grant-funded programs.
Grant Financial Reporting Develop and maintain a comprehensive financial reporting system for all grant-funded projects.
Prepare timely and accurate financial reports for grantors, adhering to their specific reporting requirements.
Collaborate with program directors and managers to gather relevant financial data and narratives for reporting purposes.
Ensure that grant financial reports reflect the appropriate use of funds and align with the program's goals and outcomes.
Data entry for grant claims Grant Claims Preparation Manage the preparation of grant claims and invoices, ensuring accuracy and compliance with grant guidelines.
Coordinate with program directors and managers and the finance team to track and document expenses eligible for reimbursement.
Submit grant claims within specified deadlines to secure timely funding.
Grant Spending Monitoring Oversee grant spending to ensure adherence to approved budgets and grant guidelines.
Collaborate with program directors and managers and the finance team to track expenditures and reconcile financial data.
Identify and address any budget variances and work with relevant stakeholders to reallocate resources as needed.
Grant Compliance Stay updated on grant requirements and regulations, ensuring the organization's compliance with grant terms.
Work with the finance team to conduct internal audits and reviews to ensure financial compliance with grant restrictions.
Address any financial compliance issues promptly and take corrective action if necessary.
Collaboration and Communication Collaborate with program director and managers and the finance team to ensure seamless communication and coordination in grant fiscal management.
Grant Budget Development Work with program directors and managers and the finance team to develop accurate and comprehensive grant budgets.
Ensure that grant budgets align with program goals, funder requirements, and YWCA Greater Lafayette's financial policies.
Requirements and Qualifications Bachelor's degree in accounting, finance, or a related field is highly desired.
Minimum of 1-3 years of experience in finance, or accounting within the nonprofit sector along with grant fiscal management.
Demonstrated experience in preparing financial reports, claims, and managing grant spending.
Knowledge of grant compliance requirements and regulations.
Proficiency in financial data analysis, budget development, and general accounting tasks.
Strong attention to detail and accuracy in financial reporting.
Excellent communication skills, both written and verbal, with the ability to communicate financial information effectively.
Collaborative and team-oriented, with the ability to work effectively with diverse stakeholders.
Knowledge of the nonprofit sector, social justice issues, and YWCA's mission is preferred.
Ability to exercise independent judgment and handle confidential information with discretion.
Physical/Mental Essential Requirements The ability to perform office work, including sitting at a computer workstation for extended periods.
Strong attention to detail and focus on accuracy in grant fiscal reporting and accounting tasks.
Occasional high-stress situations may arise when managing multiple grants and deadlines.
Additional Requirements This is a full time, 40 hour, in person position.
